Limit admin scope visibility
SurveyMars allows system administrators to limit which sub-accounts they can view. When this feature is enabled, admins can only see surveys, folders, and assignment options for the sub-accounts they are permitted to access. By default, the feature is off and admins can view all sub-account surveys.
Feature Access
1. This setting is available only for System Administrators.
2. Open the add or edit system administrator dialog (e.g. from "Manage Sub-accounts" or your admin settings).

Enabling Limit Admin Scope Visibility
1. In the add/edit system administrator dialog, locate the option: Limit admin scope visibility (default allows viewing all admin surveys).
2. By default this option is off. When off (or when enabled but not configured), the admin can view all sub-account surveys.

3. Turn the option on to restrict which sub-accounts this admin can see. After enabling, a button appears to select departments or sub-accounts.

Selecting Departments or Sub-accounts
1. Click the button that appears after enabling "Limit admin scope visibility" to open the selection dialog.
- You can select entire departments: the admin will be able to view all sub-accounts under that department, including any sub-accounts added later.
- Or you can select specific sub-accounts under a department (one or several).

2. After selecting, save the administrator settings. The admin will only have access to the chosen departments or sub-accounts.

What This Permission Controls
When an admin has limited scope visibility, they can only see:
- My Surveys page: only the sub-account surveys they are permitted to view (in the dropdown and list).
- Left folder tree: only the sub-account folders they have permission to view.
- Sub-account assignment page: only the sub-account surveys they can assign (i.e. only those within their scope).
Managing Sub-accounts and Admins
1. On the Manage Sub-accounts page, admins with limited scope visibility are marked with an icon so you can quickly identify them.
2. Use the filter to show:
- All – all system administrators (default).
- View all admins – admins who can view all sub-accounts.
- View specific admins only – admins with limited sub-account visibility.

Restrictions for Limited-Scope Admins
1. Adding sub-accounts: System administrators with limited view scope cannot add new sub-accounts. After you set their view scope, a message is shown: admins with restricted visibility do not have permission to add sub-accounts.
2. Editing view scope: If an admin's viewable sub-account scope is restricted, they cannot edit that scope themselves. If they try, they will see:
Your access to viewable admin features is restricted, preventing you from making edits. Please contact a higher-level system administrator for modifications.
3. Editing sending range: If an admin's sending range is restricted, they cannot edit sending features. If they try, they will see:
Your sending range is restricted, and you cannot edit the sending features. Please contact a higher-level system administrator for assistance.
Important Notes
- This feature applies only to System Administrators.
- By default, "Limit admin scope visibility" is off; admins can view all sub-account surveys until you enable and configure it.
- Selecting a department grants access to all current and future sub-accounts under that department.
- Admins with limited scope cannot add new sub-accounts or edit their own view scope or sending range; they must contact a higher-level administrator.
- Use the Manage Sub-accounts filter (All / View all admins / View specific admins only) to quickly find admins by scope.
FAQs
Who can set "Limit admin scope visibility"?
Only a higher-level system administrator (or the main account) can set this when adding or editing a system administrator. An admin whose scope is restricted cannot change their own view scope.
If the option is on but no departments or sub-accounts are selected, what happens?
If nothing is selected after enabling the option, it is treated as not configured; the admin can still view all sub-account surveys.
If I select a department, are new sub-accounts created under that department automatically visible?
Yes. Selecting a department grants access to all current and future sub-accounts under that department; no further configuration is needed.
Can a limited-scope admin change their own view scope?
No. Once an admin's viewable sub-account scope is restricted, they cannot edit that scope or their sending range themselves; they must contact a higher-level system administrator.
Can a limited-scope admin add new sub-accounts?
No. Admins with restricted visibility do not have permission to add sub-accounts; only admins who can view all sub-accounts or higher-level administrators can add new sub-accounts.
